NEOSPACE
Privacy policy
This policy explains what happens to the data you send us through the contact form on neospaceplatform.com.
Effective from: [DATA WEJŚCIA W ŻYCIE]
1. Data controller
The controller of your personal data is [NAZWA SPÓŁKI], [ADRES], tax ID (NIP) [NIP], National Court Register (KRS) [KRS] (the “Controller”, “we”).
For anything related to your personal data, write to contact@neospaceplatform.com.
2. What data we process
When you send the contact form:
- your name,
- your email address,
- your company or studio name (optional),
- the content of your message,
- the fact that you gave consent to be contacted, and the language version of the form.
On every visit, the server records the IP address, time, page visited and browser details in its technical logs. When you send the form, your IP address is also held briefly in the form service’s memory to limit the number of messages from one address (spam protection).
3. Purposes and legal bases
- Replying to your enquiry and further correspondence — based on your consent (Art. 6(1)(a) GDPR), which you give by ticking the consent box in the form.
- Protecting the website and the form against abuse (server logs, message limits) and establishing, pursuing or defending legal claims — based on our legitimate interest (Art. 6(1)(f) GDPR).
4. Do you have to provide the data
Providing your data is voluntary. Without your name, email address and message, however, we cannot reply to your enquiry.
5. Who processes the data on our behalf
Your data is processed on our behalf, under data processing agreements, only by technical service providers:
- Twilio Inc. (SendGrid), USA — delivering messages from the form to our mailbox,
- DigitalOcean, LLC, USA — hosting the website’s server (data centre in Frankfurt, Germany),
- Google Workspace (Google Ireland Ltd.) — the contact@neospaceplatform.com mailbox where messages arrive.
We do not sell your data or share it with anyone for marketing purposes.
6. Transfers outside the EEA
Twilio Inc. (SendGrid) and DigitalOcean, LLC are based in the USA, so your data may be transferred outside the European Economic Area. These transfers are based on the standard contractual clauses approved by the European Commission (Art. 46(2)(c) GDPR). You can request a copy of these safeguards by writing to contact@neospaceplatform.com.
7. How long we keep the data
- Messages from the form and correspondence — for [OKRES, np. 12 miesięcy] after the last contact, unless keeping them longer is necessary to establish, pursue or defend legal claims.
- Web server logs — 14 days.
- Your IP address in the form service’s memory — at most 24 hours, never written to disk.
If you withdraw your consent, we will delete the data processed on that basis without undue delay.
8. Your rights
You have the right to:
- access your data and receive a copy of it,
- have your data rectified,
- have your data erased,
- restrict processing,
- data portability,
- object to processing based on our legitimate interest,
- withdraw your consent at any time — without affecting the lawfulness of processing carried out before the withdrawal.
To exercise these rights, write to contact@neospaceplatform.com.
9. Complaints to the supervisory authority
If you believe we process your data unlawfully, you can lodge a complaint with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warsaw, Poland, uodo.gov.pl).
10. Profiling, cookies and analytics
We do not make automated decisions about you or profile you. The website uses no cookies, no analytics tools and no third-party scripts — fonts, images and the film load from our own server.
11. Changes to this policy
If the way we process data changes, we will update this policy and the date at the top.
